How to choose an AI receptionist for your business
An AI receptionist should be evaluated against the calls your business actually receives. Start with one clearly defined task, such as collecting missed-call enquiries, rather than assuming it can replace every front-desk responsibility.
Map the calls you need to handle
List your common questions, opening hours, enquiry types and urgent exceptions. Separate information the assistant may share from decisions that need a person. A trades enquiry, a cancellation and a complaint each need different handling.
Compare the full usage cost
A monthly subscription alone does not explain running costs. Ask about included minutes, number rental, call transfers, messages, recordings and excess usage. Confirm whether usage stops at the allowance or generates additional charges. Compare providers using your own expected call volume.
Test appointment handling carefully
Ask which calendar is supported and whether the assistant can read availability and write confirmed bookings. Test overlapping appointments, time zones, cancellations and provider outages. Collecting a booking request is different from confirming a slot.
Agree a human fallback
Specify when a caller should be transferred, when a callback should be requested and what happens if nobody answers. Emergencies, sensitive questions and uncertain answers need explicit rules. Test those rules before directing customer calls to the service.
Review privacy before sharing customer information
Ask who processes call information, where it is handled, how long it is retained and who can access it. Decide whether recordings are necessary. Obtain appropriate professional advice about your own obligations; a provider’s marketing statement is not a substitute for reviewing its terms.
A practical acceptance checklist
- Correct answers to approved business questions.
- No invented prices, availability or promises.
- Successful escalation and an outage fallback.
- Verified booking behaviour and duplicate prevention.
- Visible usage limits and understandable billing.
- Agreed access permissions and retention rules.
