How to Stop Missing Calls as a Plumber in the UK

How UK plumbers can stop losing jobs to missed calls while on the tools: voicemail, call-back windows, call diverts, emergencies and an AI receptionist.

Know why a missed call costs you more than the call

When someone has a leak through the ceiling or no hot water, they rarely wait for one plumber to ring back. They try the next number on the search page, and whoever answers first usually gets the job. Many callers also hang up rather than leave a voicemail, so a missed call often leaves you with nothing but a number you don’t recognise. You can’t answer the phone with your arm under a sink, and you shouldn’t try. The goal is not to answer every call yourself; it is to make sure every caller gets something useful straight away and that you can get back to the right ones quickly.

Spend one week noticing when you miss calls

Before changing anything, look at your phone’s call history at the end of each day for a week. Note roughly when the calls you missed came in: first thing while you were loading the van, mid-job, while driving between jobs, in the evening, at weekends. Most plumbers find a pattern, and the pattern tells you what to fix. If you mostly miss calls while driving, call-back windows will help most. If they come in the evenings, you need something that answers when you have finished for the day.

Record a voicemail greeting that does a job

A generic network greeting tells callers nothing. Record your own: your business name, that you are on a job right now, and exactly what to leave — their name, postcode, what the problem is and whether water is leaking now. Say when you will call back, such as “by the end of the day”, and only promise what you can keep. If you work on gas appliances, add that anyone who smells gas should hang up and call the National Gas Emergency Service on 0800 111 999 in England, Scotland and Wales. Keep it under half a minute; long greetings make people hang up.

Set fixed call-back windows

Instead of checking your phone every few minutes, pick set times to deal with missed calls: before your first job, at lunch, between jobs and before you finish. Call back anything urgent first, then quotes, then general questions. A quick text such as “Sorry I missed you, I’m on a job and will ring you at 12” stops many people ringing round while they wait. Never handle your phone while driving; pull over or use the call-back window.

Use “divert when unanswered”, not “divert all calls”

Your mobile network lets you send calls somewhere else only when you are busy, don’t answer or are switched off, while still ringing your phone first. You will find this under call forwarding in your phone’s settings, and your network’s help pages list the short codes. Choose how many seconds your phone rings before diverting, so you still get the chance to answer. Check with your network how diverted calls are charged: they can use your minutes, and some pay-as-you-go plans only allow diverts to voicemail. Diverting unanswered calls to a person or service that can answer is far better than voicemail.

Decide what counts as an emergency

Write down which jobs you treat as urgent — a burst pipe, water coming through a ceiling, no water at all — and which can wait for a booked visit, such as a dripping tap or a new radiator. Then make sure whoever or whatever answers your phone tells callers the same thing, including whether you do out-of-hours call-outs. Honest answers here save you wasted call-backs and stop customers expecting someone at midnight when you don’t offer it.

Give callers a way in that doesn’t need you

Some people would rather not phone at all. Keep your Google Business Profile up to date with your hours, the areas you cover and the jobs you do, and add a booking link for quote visits if you use one. Every question answered there is one less call to miss.

How the AVZULO AI Receptionist helps

If you have done all of the above and still miss calls you can’t get back to in time, the AVZULO AI Receptionist costs £49 a month and works with the divert you have just set up. You divert unanswered calls to your own AVZULO receptionist number. It answers in a natural voice using only the business information you give it — areas you cover, the jobs you do, your call-out hours — and takes a message for anything else. You get an email summary after every call: who rang, what they asked and any message. It will not quote prices you haven’t listed. Putting callers through to your mobile is being switched on; until then, urgent messages are emailed to you straight away. There is a monthly call allowance with no overage charges, and you can cancel any time.
